Training Assistant

RT Workplace Training Inc. offers two broad categories of training: (1) training for HR professionals, managers, internal counsel, and others who conduct investigations, on workplace investigations and related topics; and (2) respect at work and related training for employees within organizations. Training sessions are offered remotely and in-person.

The core function of the training assistant is to provide support during live, online training sessions. The assistant will assist our facilitators, training coordinators, and participants during live online sessions. This role is ideal for someone who enjoys both independent work and close collaboration. You’d be part of a small, highly functional team.

Responsibilities include:

Online Training Support:

  • Organize all materials and prepare for online training sessions in advance, including:
    • Confirming any changes to the materials with the facilitator
    • Arranging for delivery of the training materials to the participants
    • Circulating the online link for training sessions and confirming any other online logistics in advance
  • Support online training sessions hosted on Zoom and Microsoft Teams (session durations range from 1.5 – 6 hours), including:
    • Sharing materials onscreen during the live session
    • Providing basic IT support to participants as needed
    • Setting up and monitoring breakout rooms for activities
    • Supporting the facilitator during live demonstrations using the built-in platform tools (e.g., whiteboard, stamps, etc.)
    • Assisting the facilitator in communicating to participants via the “chat” function
    • Sending participants handouts and materials (via email) at the direction of the facilitators

Training Tasks:

  • Assist participants with registration in our online system, Arlo
  • Create and send invoices and resolve payment issues with training participants
  • Maintain accurate and up-to-date billing logs to reflect new invoices, cleared payments, and outstanding balances
  • Collect shipping details from participants to ship items after sessions (e.g., books, gift cards, etc.)
  • Send workshop completion certificates to participants at the end of the session (if applicable)
  • Maintain Advanced Certificate database and send corresponding certificates to attendees
  • Prepare post-evaluation surveys for public and in-house training sessions, identifying areas for improvement
  • Maintain approvals for Continuing Professional Development courses from different jurisdictions (for public training, webinars, and internal CPD sessions)
  • For off-site training sessions, assist with the distribution of training support materials, including emailing, shipping, and printing of materials

Additional Tasks:

  • Coordinate with external vendors and contractors as needed (e.g., maintenance, deliveries, office services)
  • Manage new subscribers and update marketing analytics, as well as other reports
  • Assist with marketing initiatives
  • Coordinate blog submissions with lawyers, maintaining record of published and outstanding posts
  • Perform other duties as assigned to you by the Training Coordinator and Training Director in accordance with your role and function

Minimum Requirements:

  • Post-secondary diploma/degree
  • Proficient in MS Office Suite
  • Comfortable using online training platforms (Zoom and Microsoft Teams)
  • Detail oriented with strong organizational skills
  • Comfortable in a multi-tasking environment with an understanding of deadlines
  • Comfortable working with the back end of a content management system (CMS)
  • Strong interpersonal communication skills
  • Positive attitude
  • Proven team player
  • Collaborative but self-sufficient
  • French language skills considered an asset
